How chasing works
Every unpaid invoice works down the same list of steps. You can change the days and the wording under Chasing steps.
| Step | When | What happens |
|---|---|---|
| PS-01 | 3 days before it's due | A friendly note with the amount and how to pay |
| PS-02 | The day after it's due | It's overdue, with your payment details again |
| PS-03 | 7 days late | Asks for a date it will be paid |
| PS-04 | 14 days late | Firmer, with a reply-by date |
| PS-05 | 30 days late | Final notice. Business clients only. Waits for you to check it |
| PS-06 | 44 days late | Letter before action, ready for you to check, edit and send yourself. Business clients only |
The rules
- Emails go out on weekdays between 9am and 5pm in your time zone, but not on bank holidays where your business is (England and Wales, Scotland or Northern Ireland, as set in Settings). A reminder due on a bank holiday goes the next working day.
- At least 3 days pass between emails about the same invoice.
- If you add an invoice that's already very late, PaidStraight skips the reminders it missed. It never skips a formal step.
- A letter before action waits at least 7 days after the final notice.
- Marking an invoice paid, voiding it, or pausing reminders stops everything at once.
- Private clients (consumers) get the reminders only. Final notices, interest and letters are for business clients.
- If it's still not paid after the letter, read the guide to small claims. PaidStraight doesn't prepare court documents.
Who the email comes from
Your business name, "via PaidStraight", with replies going to your own inbox. The last line says the email was sent using PaidStraight.
